Custom KPI
A company builds its own KPI sets (entry fields, weighted indicators, reward scale), assigns them to employees, records dated entries and feeds the score / factor into payroll formulas.
For: KPI managers (Manage KPI permission); people allowed to record / view per set; employees viewing their own KPI
What custom KPI is
Each company builds its own KPI sets: it defines the fields to record (number, money, percent, date, text, yes / no, select one, image / file), weighted indicators, per-person targets and a reward scale. The feature is turned on for a company by the system administrator (Custom KPI); the company then turns on the Enable KPI for the company switch in Company settings → KPI (off by default). The KPI menu is in the Human resources group.
Building a KPI set (Manage KPI permission)
KPI menu → KPI sets tab → Add KPI set:
- KPI set code (cannot change after saving), Name, Period type and Result months: monthly (every month), quarterly (tick months 3, 6, 9, 12) or yearly (month 12). KPI results exist only in result months.
- Content (entry fields) — each field has a name, a Variable code (used in payroll formulas, suggested from the name), a type and a period aggregation: Sum, Average, Count, Minimum, Maximum, Latest. Select one takes one option per line as
name=numeric value. - Targets (indicators) — each indicator takes a numeric field, has a weight (indicator weights must add up to 100%) and a direction Higher is better / Lower is better. The completion cap defaults to 150%.
- Reward scale — steps of "from score ≥ x% → factor, grade". Total score = sum of (weight × completion rate) over the indicators.
- Roles that can view / record — pick from the company's roles; empty means only people with the Manage KPI permission. Turn on Let employees record for themselves to let employees enter their own data.
Editing a KPI set creates a new version; a set that already has entries cannot be deleted (turn off In use instead) and fields / indicators already used cannot be removed.
Assignment & targets
Assignment & targets tab: Assign employee: filter by department or search by name / code, tick several people (or Select all of those shown), pick from date – to date and Save; people who overlap an existing assignment are skipped and reported. Then click a person to set targets per indicator for a result month. Entries can only be recorded for a person assigned on that date.
Recording entries and viewing results
Entries & results tab: pick the KPI set and period, filter by department or search by employee name / code. Results shows one row per person with a ring for the total score (green from 100%, amber 60–99%, red below 60%, grey when no target is set), grade and factor, paged, with counts per level; click a row to see progress per indicator and View entries for that person. Entries lists the entries inside the period's date range. Add entry: choose the employee, the date and fill in the fields (up to 10 files per field). The recorder and KPI managers can edit / delete entries; employees can always see their own entries.
KPI in payroll formulas
Each set generates variables for payroll formulas (see the Variables tab): KPI_<SET>_<FIELD> (aggregated value), KPI_<SET>_THUCTE_<INDICATOR>, KPI_<SET>_MUCTIEU_<INDICATOR>, KPI_<SET>_HOANTHANH_<INDICATOR> (%), KPI_<SET>_DIEM (total score, %) and KPI_<SET>_HESO (factor from the scale).
Example bonus formula: 5000000 * KPI_KD_HESO. In a month that is not a result month every variable is 0; for a quarterly period, the month-3 payslip uses entries from the start of the month-1 pay period to the end of the month-3 pay period.
The bonus is calculated only by the payroll formula; KPI provides the score and factor. The payslip stores the KPI values it used for reference.
